We are looking for meticulous, organized, and self‑motivated individuals who thrive in a virtual environment and are passionate about maintaining the highest standards of data integrity in the healthcare industry.

Position Overview

The Remote Part‑Time Data Entry Clerk role is a PRN (as‑needed) position offering 10‑20 hours of work per week. The successful candidate will be responsible for converting handwritten or scanned progress notes—primarily from speech‑therapy sessions—into our secure, cloud‑based healthcare database. This work is performed from a home office located in either Washington, NC or Greenville, NC (or any U.S. location with reliable internet connectivity). The role is ideal for individuals seeking flexible, part‑time employment that offers both autonomy and a supportive team environment.

Key Responsibilities

  • Accurately transcribe daily progress notes from paper or scanned documents into the designated arenaflex database.
  • Verify that all entered data is complete, free of typographical errors, and conforms to established formatting standards.
  • Maintain strict confidentiality and security protocols for all patient‑related information, adhering to HIPAA and arenaflex’s internal policies.
  • Perform routine quality‑control checks to identify and correct inconsistencies or missing data.
  • Collaborate with speech‑therapy clinicians and other healthcare professionals to clarify ambiguous entries and ensure clinical accuracy.
  • Prioritize and manage a daily workload of up to three batches of progress notes, each requiring completion within a three‑day turnaround window.
  • Participate in periodic virtual training sessions and competency assessments to stay current with evolving documentation standards.
  • Assist with ancillary administrative tasks, such as organizing electronic files, generating simple reports, and supporting team communication initiatives.

Essential Qualifications

  • Proven proficiency with Microsoft Office Suite, especially Excel; at least one year of hands‑on experience is preferred.
  • Exceptional typing speed—minimum 50 words per minute—with a high degree of accuracy.
  • Demonstrated ability to interpret and apply healthcare acronyms and terminology related to speech therapy.
  • Strong organizational skills, including the capacity to prioritize multiple tasks and meet tight deadlines.
  • Excellent problem‑solving abilities and meticulous attention to detail.
  • Ability to work independently while also contributing effectively to a remote team environment.
  • Reliable home office setup: a computer (Windows or macOS) with a stable broadband connection, a quiet workspace, and a headset for occasional virtual meetings.
  • Willingness to sign a confidentiality agreement and adhere to all data‑security policies.

Preferred Qualifications & Additional Skills

  • Prior experience in healthcare data entry, medical transcription, or clinical documentation.
  • Familiarity with electronic health record (EHR) systems such as Epic, Cerner, or similar platforms.
  • Basic understanding of HIPAA regulations and best practices for data protection.
  • Experience with remote collaboration tools (e.g., Slack, Microsoft Teams, Zoom).
  • Ability to quickly learn arenaflex’s proprietary data entry interface and workflow.
  • Demonstrated commitment to continuous professional development, such as completing relevant certifications or online courses.

Core Competencies for Success

  • Accuracy & Precision: Consistently deliver error‑free entries, recognizing that even minor mistakes can affect patient care.
  • Time Management: Efficiently handle multiple note batches while respecting the three‑day completion deadline.
  • Communication: Clearly convey questions or concerns to clinicians and team members via email or virtual meetings.
  • Adaptability: Adjust to evolving documentation standards, software updates, and workflow changes without loss of productivity.
  • Integrity: Uphold the highest ethical standards in handling confidential health information.
