Transform Lives Every Day as a Special Needs Care Advisor at arenaflex

Are you searching for a career that combines meaningful human connection with professional growth, all from the comfort of your home? Join arenaflex as a Healthcare Customer Advisor specializing in Special Needs Support, and become a trusted ally for families navigating some of life's most complex challenges. This is more than a customer service job — it's an opportunity to deliver life-changing guidance, resources, and advocacy to members and their loved ones across the United States.

At arenaflex, we're reimagining the healthcare experience by removing barriers, simplifying access to care, and building healthier communities one family at a time. Our mission is to create a more responsive, affordable, and equitable health system — and our Care Advisors are at the heart of that transformation. If you have a passion for helping others, exceptional empathy, and a talent for solving complex problems, we want you on our team.

About This Role

As a Healthcare Customer Advisor in our Family Engagement Center, you'll serve as the primary point of contact for members and families affected by special needs. Whether the member is a child with a complex medical condition, an adult navigating disability services, or a family member caring for a loved one, you'll provide end-to-end support that goes far beyond answering questions. You'll resolve complex benefit issues, guide families through claims and billing disputes, facilitate prior authorizations, manage appeals, and connect them with community resources that truly make a difference.

This is a full-time, remote position (40 hours per week) with a consistent schedule of Monday through Friday, 9:45 AM to 6:15 PM Central Standard Time. Occasional overtime may be required based on business needs. New hires will complete a comprehensive 18-week paid training program — beginning with core hours of 8:00 AM to 4:30 PM CST, then ramping into the regular schedule during the final four weeks.

Primary Responsibilities

  • Provide holistic family support to members with special needs or those caring for children or family members with special needs, owning the entire resolution process from initial outreach to final outcome.
  • Serve as an ongoing point of contact through phone, email, chat, and text channels, delivering compassionate and memorable service experiences.
  • Build lasting relationships with members, their families, and teammates, fostering trust and continuity of care.
  • Make independent decisions and creatively solve complex problems using sound judgment, critical thinking, and resourcefulness.
  • Follow through on commitments and set realistic expectations for members, ensuring transparency at every step.
  • Plan, prioritize, and organize daily work to meet established objectives and deliver timely follow-up and outreach.
  • Manage a diverse caseload ranging from low to high complexity based on clinical needs, financial impact, and escalation level.
  • Conduct proactive outreach to members referred by executives and strategic partners, initiating meaningful engagement.
  • Maintain accurate documentation of family counts and service interactions on our internal platforms.
  • Foster team collaboration by mentoring colleagues, sharing knowledge, and contributing to a positive team culture.
  • Anticipate member needs by proactively identifying internal and external resources that add unexpected value.
  • Make appropriate referrals to other programs and services, using both technology tools and independent judgment.
  • Deliver high-quality member experiences as reflected in post-contact surveys and member feedback metrics.

What We're Looking For: The Ideal Candidate

We believe the best Care Advisors combine heart, mind, and grit. To thrive in this role, you'll need more than technical know-how — you'll bring a genuine commitment to making lives better. Here are the qualities we value most:

  • Passion for helping families of children and adults with special needs navigate complex systems.
  • Deep empathy and compassion, with strong active listening skills that put members at ease.
  • Proactive problem-solving abilities — you're resourceful, relentless, and unafraid to think outside the box.
  • Critical thinking and prioritization skills that help you manage time efficiently across multiple cases.
  • Self-starter mentality with the confidence to thrive in ambiguous situations where processes are still evolving.
  • Process improvement mindset — you actively look for ways to make things better for members and teammates.
  • Strong written and verbal communication with the ability to understand diverse special needs conditions and tailor your approach accordingly.
  • De-escalation expertise — you can manage distressed members and translate complex benefit terminology into clear, actionable language.
  • Team-oriented approach, with a willingness to collaborate, mentor, and contribute to collective success.
  • Member-centered decision making — you consistently prioritize the needs of the people you serve.
  • Value-driven work ethic — you aim to exceed expectations and deliver "more than expected" at every touchpoint.
  • Agility and adaptability in a fast-paced environment where continuous learning is the norm.
  • Quick-study ability — you can review member history, understand context, and confidently address needs on the spot.
  • Energy and resilience to overcome challenges and tackle what needs to be done.
  • Coachable mindset, open to professional development and constructive feedback.
  • High emotional intelligence, enabling you to separate personal feelings from member concerns while delivering thoughtful care.
