As a Staff Assistant – Data Entry (DPS) within the Airport Stations Group of the Customer Experience Division, you will be the backbone of our administrative operations. Your meticulous attention to detail and ability to manage multiple tasks simultaneously will ensure that our stations run smoothly, our teams stay organized, and our customers receive the exceptional service they expect from arenaflex.
Key Responsibilities
- Administrative Coordination: Schedule meetings, draft correspondence, manage phone coverage, greet and direct visitors, and handle incoming and outgoing mail.
- Office Supply Management: Order, receive, and distribute office supplies; manage P‑card transactions and track expenditures.
- Event Planning Support: Assist with the planning, coordination, and execution of station events such as team lunches, recognition ceremonies, and holiday celebrations.
- Invoice Processing: Review, audit, and process invoices through InvoiceWorks, ensuring timely and accurate payment distribution.
- Technology Issue Resolution: Identify and troubleshoot office technology problems, including telephone systems and copier equipment.
- Onboarding Assistance: Track and verify completion of onboarding tasks for new hires, including system access, badge issuance, fingerprinting, and training enrollment.
- Payroll & Timekeeping Support: Assist with timekeeping functions, data entry, reconciliations, and reporting in Workbrain for both management and staff.
- Record Maintenance: Keep employee records up to date, maintain station calendars, and ensure compliance with OSHA and safety documentation requirements.
- Reporting & Analytics: Generate and distribute periodic reports on performance, cost, employee engagement, and compliance metrics.
- Financial Assistance: Provide support for various financial functions, including budget preparation, month‑end close, and expense tracking.
- Project Liaison: Coordinate with Corporate Real Estate (CRE), facilities, and vendors on local projects and initiatives as needed.
- Ad‑hoc Tasks: Perform additional duties and special projects to support the station’s operational excellence.
Essential Qualifications
- Bachelor’s degree from an accredited institution (any discipline).
- Minimum of 2 years of office or administrative experience, preferably in a fast‑paced, multi‑location environment.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with data‑entry platforms such as InvoiceWorks and Workbrain.
- Strong organizational skills with the ability to prioritize tasks and meet strict deadlines.
- Excellent written and verbal communication skills.
- Demonstrated ability to work independently while maintaining high levels of accuracy.
- Comfortable multitasking in a high‑volume, remote work setting.
Preferred Qualifications
- Experience in the aviation or transportation industry.
- Knowledge of OSHA regulations and safety documentation processes.
- Previous exposure to budgeting, expense reporting, or financial reconciliation.
