OVERVIEW We are looking for a highly organized and operationally minded Onboarding Specialist to support the successful launch of new properties across the Vend Park portfolio. Working closely with the Head of Onboarding, this role will help coordinate the many moving pieces required to take a property from signed deal to fully live operations. This role sits at the center of cross-functional execution, partnering closely with Operations, Account Management, Support, Engineering, and Implementation teams to keep launches on track and deliver a seamless onboarding experience for clients and tenants. The ideal candidate is detail-oriented, adaptable, and comfortable operating in fast-moving environments where priorities can shift quickly and no two launches look exactly the same. Success in this role requires strong follow-through, sound judgment, and a willingness to take initiative as new problems arise, and support the broader onboarding team in driving projects across the finish line. --- WHAT YOU'LL OWN -Tenant & Client Onboarding: Support the onboarding experience for property teams and tenants from kickoff through launch. Coordinate tenant setup activities, onboarding communications, portal access, validation setup, and training to ensure a smooth and organized rollout experience. -Launch Coordination & Operational Execution: Help drive day-to-day execution across multiple concurrent garage launches by coordinating timelines, tracking launch readiness, and supporting operational setup activities. Partner closely with internal teams, vendors, property stakeholders, and the Head of Onboarding to ensure launches stay on schedule, dependencies are managed proactively, and critical tasks are completed accurately and efficiently. -Systems & Workflow Management: Maintain accurate onboarding documentation, property records, and operational workflows across internal systems. Support setup and configuration activities across tools related to communication workflows, support operations, launch tracking, reporting, and garage management, including building and maintaining custom VIP workflows tailored to individual property and client needs. -Launch Monitoring & Post-Launch Support: Support the critical post-launch stabilization period by closely monitoring garage activity, operational performance, system behavior, and onboarding-related issues during the first days and weeks following go-live. Assist with launch-related adjustments, troubleshoot operational gaps and edge cases, and help ensure a smooth transition and handoff to the Account Management team once properties are fully stabilized. -Cross-Functional Collaboration: Work closely with Operations, Support, Engineering, Account Management, and Implementation teams to ensure strong communication, alignment, and execution throughout the onboarding process. Support ongoing improvements to onboarding workflows and operational processes as the company continues to scale. --- WHO YOU ARE -Native or native-equivalent English speaker -Highly Organized & Detail-Oriented – You can manage multiple moving pieces, timelines, and stakeholders simultaneously without losing track of details or follow-through. -Operationally Minded – You enjoy bringing structure to complex processes and are comfortable supporting fast-moving operational workflows where priorities can shift quickly. -Proactive & Resourceful – You take initiative, solve problems as they arise, and are comfortable navigating ambiguity and figuring things out in real time. -Strong Communicator & Team Player – You communicate clearly across teams, collaborate effectively with cross-functional stakeholders, and know how to keep projects moving forward in a fast-paced environment. -Adaptable & Action-Oriented – You thrive in dynamic environments where no two launches are exactly the same and are willing to jump in wherever needed to support successful execution. PREFERRED BACKGROUND 2 – 4+ years of experience in operations, project coordination, customer success, onboarding, implementation, hospitality, property operations, or other client-facing operational roles. Experience supporting complex operational workflows, coordinating across multiple stakeholders, or managing time-sensitive projects in fast-paced environments is strongly preferred.
